IMPORTANT NOTE-INSTRUCTIONS TO THE STUDY CENTERS
This section relating to the study centers out lines the do’s and dont’s in the distance education system. In summary the do’s mean that the study center conform strictly to the rules and regulations of the university as well as the various instructions provided by the SVT periodically, based on the instructions of the university. Dont’s refer to those acts of the study centers which are violative of the rules and regulations of the university as well as the instructions provided by the SVT. The following is not an exhaustive list of Do’s and Dont’s but generally that have to be followed strictly by the study centers.
- Do not admit anyone without he /she fulfilling the eligibility criteria.
- Make sure that the student seeking admission provides evidence for their eligibility.
- The application form and the prospectus are sold together for a sum of Rs.250.
- The study centers are expected to pay the fees for the prospectus and the application form in advance and collect the required number of copies from SVT.
- It is mandatory on the part of the study centers to verify the application form weather the name of the student is written fully and without error. The same name and the style in which it is written should be repeated in all the re-registration forms in subsequent semesters. In other words there cannot be any difference either in the name or in initials whenever they are entered during the course of the study.
- The same holds good while entering the enrolment number of the student during registration and re-registration semester after semester. Any change in the name or enrolment number will have an adverse effect on the printing of the mark cards with the result there will not be any consistency on the data appearing on the mark cards of various semesters.
- The study centers should collect the exact fees of the program mentioned in the prospectus. The fees collected should be periodically send to the SVT head quarters along with the duly filled in applications of the students. When the fees and duly filled application forms are received from the study centers, the students are allotted their enrolment numbers and informed accordingly to the study centers.
- Any discrepancy either in the name of the student or the program they opted or the enrolment number should be immediately brought to attention of the head quarters for immediate correction.
- At the end of the last date of the admissions the study centers through online would have received a consolidated and comprehensive list of admissions with the names of the students, their enrolment numbers and the programs to which they are admitted. Any corrections that are needed on the data sent to the study center must be immediately reported to the head quarters. The corrections will be made and the corrected version will be received by the study center.
- Immediately after the admissions are made, it is the responsibility of the SVT to despatch the course materials to all the students. If any discrepancy is observed in the course materials received it may be brought to the attention of SVT so that the discrepancies will be rectified at the earliest.
- The study centers may allow 2 – 3 weeks time for the student to browse through the course materials before they arrange the counselling sessions. Usually there will be 6 counselling sessions of 2 hours each accounting for 12 hours. Since most of the students will be working professionals it is advisable to confine the counselling sessions to the week-ends(Saturdays and Sundays). A semester may generally have 16 credits of study, amounting to 4 courses, possibly 48 hours of counselling sessions have to be arranged. This can be achieved on 6 weekends(6 Saturday and 6 Sundays). Counselling sessions need to be highly interactive. The concerned teacher should announce the students the previous week of what would be the subject matter of discussion for the ensuing weekend. The student should come prepare for the discussions, they may have certain doubts on the course material, may be that some of the questions have remained unanswered or there may be totally new areas that are incomprehensible to the students. These are essentially the points of discussion that would make the counselling session interactive. Although the attendance in counselling sessions is not mandatory it is advised that the students attend them regularly for their own benefit.
- The study centers are expected to collect the assignment responses periodically from the students and get them evaluated preferably by those teachers who counsel the students. After the evaluation the assignment responses may be returned to the students. The marks of the students obtained for the assignment responses should be tabulated and send to the SVT online. These marks constitute the Internal Assessment(IA) marks of the student. The IA marks are given only once. In case a student fails in the terminal examination and reappear for the course in the next examination his IA marks will not change and continues to remain the same.
- The role of the study centers in the conduct of the examinations is the most significant task. The role actually begins from the time the applications for examinations are filled in correctly by the student, the exam fees collected from them and both the application forms and the fees are send to us before the deadline. SVT makes available the university approved timetable for examinations on their website. The study centers should take some special interest in downloading the timetable and hard copies pasted on the notice board. They should also make sure that each and every student is well aware of the dates of examination and should not complaint at a later date the ignorance of the dates. The next step that the study centers are expected to carry out is to collect the hall tickets for the examinations from the head quarters of SVT and distribute it for the students. Any discrepancy in the hall ticket by way of the name of the student or enrolment number or the program chosen or the semester should immediately be brought to the attention of SVT.
- Generally the study center will remain as the examination center but in cases where the enrolment is less than 20 then 2 or 3 study centers may be merged and converted into one examination center.
- It is possible that some students may opt for a change of examination center, such students should send a written request to the head quarters and such request are usually accepted and change of study center is granted. The study center where the students wants to write his examination will be informed accordingly and it will be requested to permit the student to write the examination. Any request for change of examination center must be received at the head quarter 2 weeks before the commencement of the examination. Request received thereafter will not be entertained.
- The study centers should adhere to examination schedule very strictly. The university sends the question papers online to the head quarters just 2 hours before the commencement of the examination. It is immediately emailed to the various examination centers. The examination coordinator at each study center should promptly down load the question paper print a copy and prepare the required number of photocopies. All these should be done prior to the commencement of the examination each day. SVT cannot be blamed If by any chance the question paper is not received, received but not downloaded. The students will not have any option other than to appear for the examination conducted in the next semester. The examination coordinators therefore should take proper care and caution to receive the question paper in time Any complaint regarding the non receipt of the question paper should reach the SVT not later than 30 minutes after the commencement of the examination. The complaints received thereafter will also be not entertained.
- It is needless to mention that the study centers should take adequate measures to maintain the confidentiality and sanctity of the examination.
- The invigilators in the examination hall are to fill all the documents provided by the university in relation to the examination. The most important document is the invigilators diary which categorically states weather the student is present and absent for examination. The invigilator is asked to record all the information required in the diary. The diary in its original form should be sent to the university along with the answer scripts. It is also essential that the answer scripts of each day should be packed safely and send to the university on the same day of the examination. The study centers shall not retain the answer scripts with them even overnight. All the answer scripts should be addressed clearly to the designated person along with the related documents, more specifically invigilators diary.
Equally important is the conduct of practical examinations at the respective study centers. The guidelines for the conduct of practical examination are provided in the website. The study centers should adhere to these guide lines conduct the practical examinations , evaluate the answer scripts and send the marks of the students online. Essentially the practical examination marks and the internal assessment marks are to be received at the head quarters online using the user ID and password provided. Additionally a hard copy of the practical marks and IA marks should also reach the head quarter and must be addressed specifically.

All the mark sheets related to practical exams and IA marks should reach the head quarter not later than one week after the conduct of the last practical exam. The mark list received thereafter will be summarily rejected and not forwarded to the university.
